Your Department's Photo Day,
Start to Finish

It begins with a vision — of portraits that reflect the honor, dedication, and legacy of your team.
At Timeless Heroes Photography, we bring that vision to life.

Led by Jennifer (former Firefighter) and Michael (U.S. Air Force, EOD - Retired), our team understands the hero mindset and delivers a no-compromise portrait experience.

How Much Does Department Photography Cost?

The cost of department photography varies based on the size of your department, the number of personnel being photographed, your location, the number of photography days required, and the products you select. Once we understand your schedule and goals, we provide a clear, customized proposal before anything is booked.

What Do Department Photography Products Cost?

Legacy Boards begin at $825, yearbooks can be as low as $75 per book, and individual portrait packages begin at $45 per department member. Final pricing depends on product size, quantity, design, customization, and the specific needs of your department.

Is There a Fee for On-Location Photography?

Some departments may qualify for reduced or complimentary on-location photography. Larger departments and agencies that purchase qualifying products—such as a Legacy Board or yearbook program—may have the photography fee reduced or waived. Smaller departments may have a modest production fee to help cover the photographer’s time, travel, equipment, setup, and breakdown.

Every proposal is designed around what your department actually needs. Whether you are updating personnel portraits, creating a Legacy Board, producing a yearbook, or combining several services, you will receive clear pricing and a full explanation of what is included before moving forward.

Let’s Get Started

Once you choose to partner with us, we will coordinate the best dates and times for your department. We’ll discuss background options, decide which uniform and poses best reflect your team’s identity, finalize the shoot location and answer any administration questions. From uniform styles to pose selections, we make everything simple — so you can focus on your mission.

Before Photo Day

To make Photo Day as smooth, organized, and stress-free as possible, we’ll work closely with your department in the weeks leading up to your session. We’ll collect and review your final roster, help ensure uniforms and any department-specific details are ready to go, and address any last-minute questions or special circumstances before we arrive.

During the week of your shoot, we’ll reconnect with your department contact to confirm the photography schedule, location, setup, and overall workflow. This final check-in helps ensure everyone knows what to expect, where to be, and how the process will work.

By taking care of these details ahead of time, Photo Day can run efficiently with minimal disruption to your department’s normal operations—allowing your members to simply arrive prepared, step in front of the camera, and let us take care of the rest.

Photo Day is Here

The big day arrives — and we arrive early (30–45 minutes) to set the stage and welcome your team. We bring samples of prints and product options so your members see exactly what’s possible. We’ll have lint rollers, a mirror, combs and more — so every uniform looks its best.
The process is efficient and clear:

Step 1: Uniform check.
Step 2: Employee is photographed
Step 3: On-site viewing of images & product options
Step 4: Gallery goes live for purchases
Step 5: Final delivery — finished portraits, products, and digitals

Proofing and Ordering

We offer same-day portrait viewing, giving each member the opportunity to see their image and make sure they’re happy with their portrait before we wrap up the session. It’s important to us that everyone feels confident in how they’re represented.

After the photography session, each member’s final, professionally retouched images will be placed in a private online gallery, where they can view their finished portraits and conveniently order prints, packages, and other available products.

Our goal is to make the entire experience simple, professional, and enjoyable—from stepping in front of the camera to selecting the portraits you’ll be proud to have for years to come.

Delivery of Photos

After the session, our production process begins right away. Each portrait and product is carefully prepared, professionally printed, quality-checked, and individually packaged before being delivered or shipped. Most orders are completed within approximately 2 weeks.

We take great pride in the quality of every finished piece and want each member to be completely happy with their order. We stand behind our work with a 100% satisfaction guarantee—if something isn’t quite right, simply let us know and we’ll make it right as quickly as possible..

“At Timeless Heroes Photography, we don’t just take photos — we preserve legacy, honor service, and deliver portraits your team will be proud of for decades.”
